RedTeam Flex - New Submittals: Importing Items from Another Project

If you run similar jobs repeatedly, you can copy submittal items from a project you have already built instead of creating them again. This article covers importing items from another project. To build a log from a specification book, see navigating the extraction tool. To add items by hand, see manually adding items.

How to import items

  1. Open the project you want to import into and go to the Submittals tab.

  2. Click Import from project at the top of the log.

  3. Search for the project you want to copy items from and select it. RedTeam Flex shows you how many submittal items that project contains.

  4. Confirm by selecting Import.

Importing from a legacy submittals project

You can import from a project that uses the legacy submittals experience as well as from one already using the new experience.

Importing from a legacy project gives you a rougher starting point.

RedTeam Flex makes a best effort to bring the general information across, but the result will not be as complete as importing from a project already on the new experience. Expect to review and clean up the imported items.

This is still often faster than starting from nothing, particularly on a job similar to one you have run before. Import first, then work through the items and fill in what is missing.

Importing does not switch a project to the new experience. Copying items out of a legacy project leaves that project untouched and still on the legacy experience. See how to enable the new Submittals experience.

Using a template project

If you run the same type of job repeatedly, a template project is worth setting up once.

  1. Create a project to act as your template and enable the new Submittals experience on it.

  2. Build the submittal log you want to reuse. If you have an existing job that is close to what you want, import from it and clean up the result.

  3. On each new job, import from your template project instead of building the log again.

The advantage of building your template on the new experience is that every future import comes from a clean source rather than from legacy data, so you do less cleanup each time.

After importing

Review the imported items before sending anything out:

  • Check names, spec sections, and types against the current job.

  • Update submitters — the companies on your previous job are unlikely to be the same ones here.

  • Set or check the workflow on each item.

  • Delete anything that does not apply to this job. Items that have not been requested can still be deleted.

You can edit several imported items at once using bulk actions in the log rather than opening each one. See navigating the Submittals log.

People must be listed on the project's Team Members tab before they can be assigned to a submittal on this project, even if they were assigned on the project you imported from.
