RedTeam Flex - New Submittals: Review Submittals

Stamp a submittal with a response and understand how each stamp option affects the workflow.

What this covers

Reviewing a submittal means applying a stamped response to the submitted documents. The stamp, and the response recorded with it, become part of the project record, so the response you select should accurately reflect your determination.

This article covers reviewing as an internal RedTeam Flex user. External reviewers such as architects and engineers review in the RedTeam Portal.

Who can do this

  • Access level required: Manager. Stamping submittals and annotating submittal documents are both Manager-level actions.

  • Applies to: GC internal users assigned to a review step on the item

  • Not available to: Viewer and Coordinator access levels

  • Prerequisite: The item must be in Pending review with your review step active.

Stamp options

The option you select tells the system which path the item follows after your response is applied. The verbiage displayed on the stamp itself is customizable.

Steps

  1. Open the project and go to the Submittals tab.

  2. Open the item that is in Pending review and assigned to you.

  3. Under Actions, click Review. (Note: you must be an assigned Reviewer.)

To Stamp the Submittal:

  1. Click Add Stamp.

  2. Select your response from the dropdown.

  3. Edit the verbiage that will display on the stamp, if you want it to read differently from the default.

  4. Confirm to apply the stamp and submit your response.

If you need to annotate the document

Annotating submittal documents in the document viewer requires Manager access.

What happens next

  • Your response is recorded and the workflow advances.

  • If other reviewers are assigned to the item, it stays in Pending review until all of them have responded.

  • When all required reviews are complete, a Review complete notification is sent to the submittal manager and the item moves to the Official Response and Distribution step.

  • If you responded Request Revision & Resubmission or Submittal Not Required, the item moves to Pending submittal manager action and a Submittal rejection notification is sent to the submittal manager. See Rejection and Revision Handling.

Things to know

  • Reviewers cannot add other reviewers. Adding another person from your firm to a review step requires the submittal manager to make that update. Contact them and they can add the additional reviewer to your step.

  • Company logos on stamps are not available yet. Your name and company appear on the stamp automatically.

  • Comments are visible to everyone on the item. Comments you add during review are visible to all parties with access, internal and external. They are not private.

  • A submittal manager can advance an item past your step. Using Move to next workflow step, a submittal manager can skip a reviewer, with a stated reason recorded on the item.

  • A missing reviewer or due date blocks the item. If the active review step has no assigned reviewer, all assigned reviewers become inactive, or the step has no due date, the item becomes Blocked and the court moves to the submittal manager.
