Duplicating creates a copy of a submittal item so you do not have to enter the same information twice. This article covers duplicating rows while you are building items, and duplicating items already in your log.
What this covers
Submittal logs are full of near-identical items. Several items in the same spec section often share a type, cost code, submitter, and submittal manager, and differ only in name. Duplicating lets you fill that information in once.
There are two places you can duplicate, depending on whether the item exists yet:
While you are adding items — duplicate a row in the add submittal drawer before anything is added to the log.
After items are in the log — duplicate one or more existing items from the log itself.
Who can do this
Access level required: Coordinator.
Applies to: internal users on the general contractor's team.
Not available to: the None and Viewer access levels, or portal users.
Prerequisite: the new Submittals experience must be enabled on the project.
Before you start
Decide whether you want a duplicate item or a reused workflow. These solve different problems:
If you need another item that is much like an existing one, duplicate the item.
If you already have the items you need and want them to follow the same review path, copy the workflow instead. See RedTeam Flex - New Submittals: Copy and Apply Workflows.
Duplicating a row while adding items
Open the Submittals log and click New submittal.
Fill in the first row completely, including the fields the copies will share.
Duplicate the row.
Change only what differs on the copy — usually the name, and sometimes the spec section, but everything duplicates.
Repeat for as many items as you need, then click Add to log.
Add your rows to the log before you navigate away.
Rows in the drawer are drafts. Closing the drawer keeps them, but leaving the Submittals tab discards them. See RedTeam Flex - New Submittals: Manually Adding Items.
Duplicating items already in the log
In the Submittals log, select the checkboxes for the items you want to duplicate.
Open Bulk actions.
Open the More actions menu.
Click Duplicate item(s).
You can duplicate several items in one action rather than repeating this for each.
After duplications you can see the (copy) along with the originals.
What happens next
The copies appear in your submittals log ready to be edited and sent.
Things to know
A duplicated item takes the next number after the original, changing the submittal sequence.
After copying, deleting a duplicate leaves a gap in the sequence. This affects how customers reconcile their log against the spec book.
All fields carry over to a duplicated item.
Duplicating is fastest before you send. Copies still need their own submitters and due dates checked, so duplicating while you are still building the log is less work than duplicating items already in motion.
Review every copy before requesting it. An error you made once can end up repeated across several items.
