The extraction tool reads a specification book and pulls out the submittal requirements it finds, grouped by spec section, so you can review them and add them to your log instead of typing them in by hand. This article covers finding your way around the tool.
Opening the extraction tool
From the Submittals tab, click Extraction Tool at the top of the log.
Your spec book needs to be uploaded here directly.
A specification book already uploaded in Plans & Specs is not available to the extraction tool. The two are separate for now, so you will need to upload the document again in this tool.
The document list
The extraction tool opens on a list of the documents you have uploaded for this project, each with a status showing where it is in processing.
A document is not ready to work with the moment you Choose a document from your computer, it will show in the are below it before you Upload it.
RedTeam Flex processes it first, and the status changes to completed when it is finished. Large specification books take longer. You can leave and come back — processing continues without you.
Once a document shows as completed, click it to open the review screen.
The review screen
Opening a completed document gives you three panels side by side. Each has a distinct job:
Left — spec sections. The specification sections found in your document. Use this to move through the spec book section by section, which is the order most teams are used to reviewing these documents in.
Middle — extracted items. The submittal requirements RedTeam Flex identified and is proposing for your log. These are editable, so you can correct anything before adding it.
Right — the source document. The specification book itself, so you can check any proposed item against the page it came from without leaving the screen.
Seeing where an item came from
When you select an extracted item, the source document panel highlights the text the item was pulled from. This means you never have to hunt through the spec book to check whether a proposed item is right — the tool shows you its own source.
Tracking your progress
Items you have added to your log are marked with Already added to log in the extracted items panel. On a long specification book this is how you keep your place, and how you tell at a glance how much of the document you still have left to review which are the ones with + Add to Log.
What the tool does and does not do
The extraction tool proposes items. It does not add anything to your log on its own — every item goes in only when you verify and add it.
Extraction reads your document using OCR and AI, so it can make mistakes. Reviewing each proposed item against the source document is part of the process, not an optional extra step. The three-panel layout exists specifically to make that check quick.
