You can add submittal items to your log by hand, one at a time or several at once. This is the most direct way to build a log when you are not working from a specification book. This article covers adding items manually.
Who can do this
Access level required: Coordinator
Applies to: GC internal users
Not available to: None and Viewer access levels; Portal users
Prerequisite: the new Submittals experience must be enabled on the project setup by putting a check mark to receive this message in Step 2.
Opening the add submittal drawer
From the Submittals log, click the + to add a New submittal button at the top of the log. The add submittal drawer opens over the log.
The drawer is resizable. Resize it to suit how many fields you are filling in and how many items you are adding at once by going to the 3 dots ( ... )in the center until you have an up and down arrows .
What you need to add an item
Name is the only required field. Everything else can be left blank now and filled in later from the item's details panel. If you are building out a log quickly, you can enter names only and come back to the rest.
The fields available is listed in the Columns list. Some of those fields include:
Name — required.
Spec Section
Type [VERIFY: whether Submittal Types still exist in the new experience, or whether Spec Section replaced them - Product]
Cost Code
Submitter
Description
Submittal Manager
If you leave Submittal Manager blank, it is set to the project manager.
You can change it at any time afterwards.
Adding a single item
Open the Submittals log and click New submittal.
Enter a Name.
Fill in any other fields you want to set now.
Click Add to log.
The item appears in your log, ready to have its workflow set up and to be requested.
Adding several items at once
The drawer holds as many items as you want to enter before you add them to the log. Each row is one submittal item.
Fill in the first row.
Add another row and fill it in. Repeat for as many items as you need.
Click Add to log to add all of them at once.
Duplicating a row
When several items share most of the same information, fill in one row completely and duplicate it, then change only what differs — often just the name and spec section. This is faster than retyping the same type, cost code, submitter, and submittal manager for every item.
Draft items are not saved until you add them to the log
Rows in the drawer are drafts. They only become submittal items when you click Add to log.
Closing the drawer keeps your drafts.
RedTeam Flex tells you that you still have draft items, and your rows are waiting when you reopen the drawer.
Leaving the Submittals tab discards them.
If you navigate away from the tab to another part of the project with rows still in the drawer, those rows are gone and cannot be recovered.
Click Add to log before you move on to anything else. If you have a long list to enter and expect to be interrupted, add items to the log in smaller batches rather than building the whole list in one sitting.
After you add items
Newly added items sit in your log with no workflow assigned unless you have set a company default workflow. From here you can:
Set up the review workflow on an item.
Apply a workflow you have already built elsewhere.
Edit several items at once from the log using Bulk actions.
Send them out.
Items that have not been started yet can still be deleted. Deleting requires Coordinator access. Once an item has been requested, it can no longer be deleted, only cancelled.
