RedTeam Flex - New Submittals: Navigating the Submittals Log

The Submittals log is the single list of every submittal item on your project, and it is where you will spend most of your time in the new Submittals experience. This article walks through the log and the controls around it so you can find your way around before you start creating items.

Opening the Submittals log

  1. Open your project.

  2. Click the Submittals tab.

The Submittals tab appears on projects in Request status. If you do not see it, check the project's status. If you see the legacy submittals screens instead, the new experience has not been enabled on this project — see how to enable the new Submittals experience.


The toolbar

The controls across the top of the log are how you add items and configure the project. Each one has its own article:

  • New submittal — add items by hand, one or several at a time.

  • Import from project — copy submittal items from another project instead of starting over.

  • Extraction Tool — upload a specification book and let RedTeam Flex pull the submittal requirements out of it.

  • Settings — project-level configuration for Submittals, including access levels, the default project workflow, automated reminders, and whether external reviewers can see rejected and cancelled items.


Reading the grid

Each row in the grid is one submittal item. A few columns are worth knowing from the start:

  • Name is pinned to the left, so it stays visible as you scroll sideways through the other columns.

  • Court shows who owns the next action on that item right now. This is the fastest way to see what is waiting on you and what is waiting on someone else.

  • Status shows where the item sits in its workflow.

More columns are available than are shown by default. You can:

  • Show or hide columns to build the view your team works from.

  • Reorder columns by dragging a column header to a new position.

  • Pin additional columns so they stay visible while you scroll.

  • Widen a column to read longer content, such as a full description.

Your column layout, grouping, and filters are saved automatically. You can leave the Submittals tab and come back to the same view.


Grouping items

Grouping collapses the log into sections so you can see your work by category rather than as one long list. You can group by Court to see everything currently waiting on each person, by Type, or by Submitter to see what each company still owes you. Expand and collapse each group as you work.

Filtering items

There are two ways to filter, and they do the same thing:

  • Open the filter panel to build filters and see everything currently applied.

  • Use the filter control in an individual column header.

Applied filters stay visible so you can tell at a glance that you are looking at a subset of your items rather than the full log. Clear a filter to return to the full list.

Sorting items

Click a column header to sort the log by that column in ascending or descending order. You can sort by item, status, type, and other columns.

Searching

Use the search bar to search across multiple columns at once, including name, description, and type. Searching for a term that appears only in an item's description will still find that item.

Adjusting row spacing

Three display densities control how much vertical space each row takes: Cozy, Compact, and Comfortable. Use Comfortable for easier reading, or Compact to fit more rows on screen when you are working on a smaller display.


Exporting the log

Click Export to download the log as a CSV file.

Export always includes everything.

The file contains every item and every column, not just the rows and columns in your current view. Filters, grouping, sorting, and hidden columns do not affect the export. This is intentional, so you have the complete data set to filter, pivot, or build formulas from in your own spreadsheet or reporting tool.


Working with items from the log

From the grid you can act on items without leaving the log:

  • Open an item by clicking its name. The item details panel shows the item's information and its full workflow, and it is where you request, review, and respond to the submittal.

  • Select multiple items to reveal the bulk actions bar, which lets you act on many items at once — requesting submittals, sending reminders, editing item details, applying a workflow, duplicating, cancelling or restoring, and deleting.

Some fields lock once an item has been requested. If a field cannot be edited, the log will tell you why.

Notifications

The notification center in the top-right corner of RedTeam Flex collects activity on submittal items you are involved in, such as an item arriving for your review or being ready for official response. Click a notification to open the item. You will also receive email for the same events.
