In the Submittal Workflow process, the Request for Approval is the grouping or package of Submittal items.

In the Submittal Workflow process, the Request for Approval is the grouping or package of Submittal items that can be transmitted to an Owner, Architect, Engineer, etc. for review and approval (or rejection).

The files you choose and/or upload during the Review step will be included in the Request for Approval.

Once submitted, the recipient of the Request for Approval can respond with their answers as well as upload notes and relevant files with their response. Alternatively, the response can be uploaded on the recipient's behalf from the project Submittals tab.


1. Create and Send a Request for Approval

Once you have received and reviewed the files from your Vendor, and they have moved to the fifth heading: 05-REVIEWED, you are ready to begin submitting these items for approval. You have the option to group like submittal items into a document called a Request for Approval. This document is issued to your owner, architect, or engineer (or all who apply) with a Critical date by which they need to provide you with an answer. The recipient(s) will have the ability to enter their answer as well as upload any revised files from the Request for Approval email that you send them.

Steps:

  1. From the Project's home menu, click "Project Submittals".

  2. OR click on the Submittals tab on the far right side of the project screen.

  3. Click the heading, 05-REVIEWED, to expand the list and display the Reviewed Submittal items.

  4. To combine multiple submittals items into one Request, click the checkboxes for the items you want to include.

  5. Click the tool icon for any of the selected submittal items.

  6. Click "Request for Approval".

  7. Enter a Subject and select a recipient and any other contacts you want to CC.

  8. Enter the Critical date, or deadline for the recipient(s) to respond with their answer, for each item included in the Request.

  9. (Optional) Enter instructions to be displayed on the Request for Approval document.

  10. If you are including more than one copy of a submittal item, indicate the number of copies next to each item below.

  11. Click "Save".

  12. From the confirmation window, click "View Request for Approval" to review, Commit, and email the document.

  13. If the confirmation window is closed, you can open & view the Request by clicking the tool icon for the submittal item & View > Request for Approval.

  14. In the top right corner, click "Commit" to remove the DRAFT watermark from the document.

  15. In the top right corner, click "email" to send the Request for Submittals to the Vendor.


2. Enter Submittal Answer and Upload Revised Files

Once you have created, committed, and sent the Request for Approval document to your customer, architect, or engineer (or all of the above) the submittal items will be located under the sixth heading: 06-SUBMITTED. They will remain in this section until the answer/response has been received.

Responses to Submittal items can be received two ways:

  1. Recipient(s) can submit an answer and upload revised files in the Request for Approval document you sent them

  2. You can enter the answer and upload the files directly to the submittal items on their behalf

Note: Recipients and RedTeam Flex users can enter stamps when viewing the Attachment from the RFA.

Steps:

  1. From the Project's home menu, click "Project Submittals".

  2. OR click the project's Submittal tab on the far right side of the project screen.

  3. Click the heading, 06-SUBMITTED, to expand the list and display the Submitted

    Submittal items.

  4. Click the tool icon for the submittal item(s) for which you want to enter an answer.

  5. Click "Upload Response".

  6. Select the answer from the Status dropdown and enter the date the answer was received.

  7. (Optional) Add any relevant notes and upload any files.

  8. Click "Save".


3. View the Request for Approval Log

Each document sent during the Submittal Workflow process (Requests for Submittals, Requests for Approval, and Notifications to Vendors) will be automatically added to a set of document logs, which you can pull from the "View" icon on the Submittals tab of a Project.

From the Request for Approval Log, you can view, open, and respond to any of the Requests that have been created and Committed.

Steps:

  1. From the Project's home menu, click "Requests for Approval" .

  2. OR navigate to the project's Submittals Tab.

  3. Click the View icon.

  4. Select "Request for Approval Log".
