RedTeam Flex - Manage Project Issues

As Issues arise during the course of a job, RedTeam allows you to track them as they are discussed and addressed by your team.

During the progress of a job, there will often be Issues that arise. The Dialog tab of RedTeam manages all correspondence between Owner, subcontractors, employees, etc., throughout the duration of a project. One feature of the Dialog tab is to enter any project Issues (general and specific) that may come up at any time. Once entered, you may link documents to these existing Issues when filling out a Correspondence form, such as an RFI. These issues are also used to fill out meeting agendas and minutes. This lets you and your Team manage Issues faster and more efficiently. You also have the option to create a pre-generated list of default issues that you can pull into your projects


1. Add an Issue

As Issues arise during the course of a job, RedTeam allows you to track them as they are discussed and addressed by your team. An Issues page within the Dialog tab maintains a list of any project Issues (general and specific) that may come up at any time. Once entered, you may include these active Issues when filling out a Correspondence form or generating a meeting agenda. This lets you and your Team manage Issues faster and more efficiently.

Steps:

  1. Within the Dialog tab, click on the "Manage Correspondence icon".

  2. Select "Issues".

  3. Click "+New".

  4. Select "Add Issue".

  5. Select a default Issue OR fill out the required fields in the blank Issue form.

  6. Click "Save".


2. Edit or Delete an Issue

Once an Issue has been created within a Project, it may be later edited or deleted from the Project entirely. To close an Issue as resolved, do not Delete.

Steps:

  1. Within the Dialog tab, click on the "Manage Correspondence icon".

  2. Select "Issues" from the dropdown.

  3. Locate the Issue in the list.

  4. Click the pencil icon to edit.

  5. Clicking the Tools icon will allow you to "Edit" or "Delete." An issue cannot be deleted once discussions or documents are linked to it, only closed.


3. Close an Issue

RedTeam helps you track ongoing issues on a project. As you work through and resolve those issues, you can mark them as Closed when they are no longer needed. Doing so is important to indicate that it is no longer an open Issue for additional discussion.

Steps:

  1. Within the Dialog tab, click on the "Manage Correspondence icon".

  2. Select "Issues" from the dropdown.

  3. Locate the Issue in the list.

  4. Click the tools icon.

  5. Click "Close".


4. Add or Edit Discussions to an Issue

Discussions help you track and manage correspondence, meetings, and action plans associated with a particular Issue during a project. Issues could be anything from Safety to Scheduling to Accounting. When you create Meeting Minutes, you have the option to add new Issues, or list existing Issues that were previously created and used for the project. Within a Meeting Minutes entry, when you add an Issue, you can also add Discussions. These are brief notes or plans about what was discussed pertaining to that specific Issue. As you work on the project and Issues or specific Discussions are resolved, they can be closed.

Discussions can also be marked as Company Confidential, which will hide them from view unless the user has the appropriate permission.

Steps:

  1. Add a new OR Edit an existing set of Meeting Minutes.

  2. From Step 2: Issues, click the link for "+Add Discussion" next to the Issue.

  3. Fill out the required fields in the Discussion form.

  4. Click the "Save" icon.

  5. To edit or delete a discussion, click the plus icon to expand the list and click the tools icon.


5. Close Discussions to an Issue

When you create Meeting Agendas and Meeting Minutes, you have the option to add new Issues, or list existing Issues that were previously created and used for the project. When you add an Issue, you can also add Discussions. These are brief notes or plans about what was discussed pertaining to that specific Issue. As you work on the project and Issues or specific Discussions are resolved, they can be closed.

Steps:

  1. From the Dialog Manage icon dropdown, select "Issues".

  2. Click the expand (+) sign to show all Discussions for a specific Issue.

  3. Click on the tool icon to close a Discussion and remove it from this Issue.

  4. Discussions can also be closed from within a draft set of meeting minutes.
