Managing projects typically requires a lot of information exchange. This exchange may be as simple as an email or a meeting minute, or it might be a more formal RFI or transmittal. RedTeam allows you to make records of all of this correspondence and store it in one accessible place within the Dialog tab. You can also store general documentation that is important for the project, but that doesn't fit with Plans & Specifications or Contract documentation.
In the dialog section of your project, you can create a record for a 48 Hours Notice, Email, Files, Spreadsheets, Image Report, Letter, Request for Information, Transmittal Letter, Vendor Lien Documents, Vendor Lien Releases, Meeting Agenda, and Meeting Minutes, or other correspondence templates as needed.
RedTeam tracks when these documents are committed or emailed. If you need to know more about the document's history within RedTeam, you can consult it's Metadata Log.
1. Create New Correspondence
Correspondence for a project is any communication between yourself and members of your project team, including employees, customers, vendors, subcontractors, etc. You may choose from many kinds of correspondence in the dialog tab of your job.
Steps:
In the dialog tab: Click the New (+) Icon.
Select from the dialog options in the dropdown.
Enter all required information in the form.
Click "Save & Continue".
Use the attachment feature to drag and drop or browse for and select files.
Click "Close".
2. Project Email Addresses
Each project contains an internal email address that will store any incoming emails within the project's Dialog tab. Any emails forwarded, CC'd, or sent directly to that address will be captured.
Since incoming emails are discrete documents that are not part of any internal RedTeam draft and commit process, all incoming emails are automatically in Closed status and cannot be directly edited, however they can be viewed and commented on.
Steps:
Click the project’s Home Button.
Click the project email at the bottom of the Home Menu to automatically copy that address to your computer’s clipboard.
Paste the copied address into emails as needed. On Windows, CTRL+V is the shortcut to paste the address.
Emails received at this address are created in Closed status under the Dialog tab, so filters must be adjusted to view them.
After filtering for closed entries in the Dialog tab, emails will be visible.
