The Performance Overview, sometimes referred to in industry terms as a PM Report, is a customizable, comprehensive look at one or more of the following sections: Contract Details, Contract Changes, Requests for Information, Action Items, Open Issues, Open Submittals, Milestones, Schedule of Values, Billing History, and Daily Progress Reports. This comprehensive overview makes the Performance Overview the primary mechanism for presenting the current overall status of the project.
Because these reports are designed for clients and owners, any entries within RedTeam that are marked confidential (such as confidential-tagged action items or progress report comments) will not be included in a performance overview report.
1. Generate a Performance Overview Report
In RedTeam, the Performance Overview is a comprehensive look at one or more of the following sections: Contract Details, Contract Changes, Requests for Information, Action Items, Open Issues, Open Submittals, Milestones, Schedule of Values, Billing History, and Daily Progress Reports. The Performance Overview can be accessed from the Project Home menu, Progress tab View button, and Dialog tab View button.
The Performance Overview is most often used as a status report for a client, owner, or owner's representative. You can change the name of the Performance Overview to anything you want, such as a Project Status Report.
After the report is generated, you will have the option to print it immediately or attach it as a file to a Dialog entry. If you choose attachment, you must select a Dialog document template. If you intend to email it to a contact, you would typically select the email or letter document template. Once you choose a template, RedTeam will generate it with the report attached and you only need to enter the recipients, messages, and any extra attachments.
keywords: owner report, customer report, status report, status update, owner status, project status report
Steps:
From the Project's Home menu, under Reports, select "Performance Overview".
Select sections to view in the Performance Overview by clicking the checkboxes.
Click "Next".
After the report generates, you can print it or create it as an attachment. If you intend to send it now, choose Attach.
After clicking attach, select the Dialog tab Document Template that is most appropriate, typically “email” or “letter.
This creates a dialog entry with the performance overview report attached. Enter the recipients, additional attachments, and messages, then hit Send.
The email will be saved in the Dialog tab for future access.
2. Understanding the Contents of a Performance Overview Report
The Performance Overview report allows you to include a broad cross-section of a project's current status in a single report, typically for a client or owner. It covers Contract Details, Contract Changes, Requests for Information, Action Items, Open Issues, Open Submittals, Milestones, Schedule of Values, Billing History, and Daily Progress Reports. Anything listed as "Company Confidential" will not appear within the performance overview.
General: Includes the customizable title for the report and a "Select All" checkbox that will check or uncheck every entry in the report.
Contracting: Contract Details will include contract dates, durations, and dollar amounts. Contract Changes will include dates and dollar amounts of all the change orders as selected by authorized, potential, and cancelled changes.
Document Control: Requests For Information will include PlanGrid or RedTeam RFI entries and can be set with the right dropdown to display all RFIs or only open RFIs.
Open Issues: will display any open issues from the Dialog tab, along with their associated discussion entries.
Action Items: will display all unresolved action items for the project along with the individual responsible for completing the action item.
Submittals: Submittals can include all Open submittals or All submittals. When it is set to all submittals, you can use the checkbox to include or exclude rejected submittals.
Billing: With Schedule of Values, the entire SOV can be included, the contingency items can be excluded, or the SOV list can be set to only display contingency items.
Billing History: will include all committed customer billings, listing their due dates, dollar values, and payment received.
Scheduling: This will include project and/or completed Milestones from the project's Gantt schedule (or from the Progress tab milestones, if the Gantt schedule is not active). The calendar options allow you to only include milestones from within a specific time frame.
Jobsite Management: You have very detailed control over the way in which progress report information is shared. Progress reports can be included within a specific date range. The configuration of the progress reports will dictate what entry options are available to include or exclude.
Photos and other attachments can be included or excluded. Finally, the entries of certain progress report authors can be individually excluded, and reports can be excluded by scope.
NOTE: The Performance Overview report will automatically exclude any report entries or photos marked as confidential.
