Overview of the New Experience

What is the New Plans & Specifications Experience?

The new Plans & Specifications Experience in RedTeam Flex introduces a more modern, efficient, and user-friendly way to manage project drawings and specifications. Built on the same grid-based interface as the updated Projects menu, this experience allows users to sort, filter, group, and manage files with greater flexibility and speed.

How to Access the New Experience

During the beta period, you can access the new experience from within a project:

  1. Navigate to a project in Draft or Request status

  2. Open the Project Setup Form

  3. Go to Step 3: Plans & Specifications

  4. Click “Try New Experience” in the top-right corner


Navigating the Plans & Specs Interface

Understanding the Layout

The new Plans & Specs interface is designed to be intuitive and customizable:

  • Separate Tabs: Plans, Specs, & Addendums each reside in dedicated tabs

  • Table View: Traditional list format

  • Grid View: Visual layout with plan thumbnails

  • Search Bar: Search across all columns

  • Column Controls: Sort, filter, and rearrange columns

Sorting, Filtering, and Grouping

  • Click the arrows in column headers to sort data

  • Use filter icons on each column to narrow results and view all applied filters by clicking the Filter button at the top of the list

  • Use the Group By dropdown to organize plans by:

    • Discipline

    • Status

    • Author

    • Version

Customizing and Sharing Views

Creating Custom Views

You can save personalized views of your Plans or Specifications tabs:

  1. Adjust filters, grouping, or columns

  2. Click “Save Current View As”

  3. Enter a name and optional description

  4. (Optional) Set as your default view

Managing and Sharing Views

  • Access saved views from the View dropdown

Use the ellipsis menu to:

  • Rename

  • Update

  • Share with team members


Uploading Plans and Specifications

Uploading Plans

  1. Go to the Sets/Sheets button

  2. Click the Sets/Sheets button

  3. Drag and drop or select a PDF file (OCR or page splitting applied)

Uploading Specifications

  1. Switch to the Specs tab

  2. Click Specs button

  3. Upload files (no OCR or page splitting applied)

What Happens After Upload

  • Files appear as Draft items

  • You can open and review them by returning to the Add (+) flyout or edit basic details by clicking the pencil icon next to a sheet

  • Edit details such as:

    • Name

    • Author

    • Version

    • Notes

Reviewing, Rescanning, and Confirming Plans

Reviewing Uploaded Sheets

The new review window allows you to:

  • Scroll through sheets using the left panel

  • Edit names and numbers manually

  • Preview all uploaded sheets in one place

Rescanning Sheets

If OCR results are incorrect:

  1. Click Rescan

  2. Choose to rescan Just This Sheet or All Unconfirmed Sheets:

    • Sheet name

    • Sheet number

  3. Use the Sheet Name and Sheet Number highlights tools to drag over the areas to re-scan

  4. Select Start Re-Scan button

Reviewing and Committing Plans

  • Confirm individual sheets in the review window, or use the bulk selection tools to commit multiple sheets at once from the grid (see Bulk Selecting and Managing Sheets below)

  • Once confirmed, plans move from Draft → Committed status

  • Only the latest version displays in the main view

  • Fields on a committed sheet are locked — to make changes, uncommit the sheet first

⚠️ Note: During review, a warning message prompts you to verify sheet data carefully before confirming. A Select All checkbox lets you confirm all unconfirmed sheets in a single step.

Bulk Selecting and Managing Sheets

You can select multiple sheets at once to commit or uncommit them in bulk:

  • Use the checkbox column on the left side of the Plans or Specifications grid to select one or more items

  • Once a selection is made, a bulk action toolbar appears at the top of the grid

  • Available bulk actions include:

    • Commit — commit all selected Draft sheets at once

    • Uncommit — revert committed sheets back to Draft status

  • If an action is unavailable for your current selection, the button will appear disabled with a tooltip explaining why


Managing Versions and Addendums

Automatic Addendums

When a new sheet is recognized by OCR to have the same number as an existing sheet, the new sheet automatically replaces the existing one. When reviewing the sheet, the “Create Addendum” option will be pre-selected automatically. This option can also be used manually as needed.

Viewing Addendums

  • Navigate to the Addendums tab

  • Download linked documents

  • Track superseded versions


Plan Actions and Markups

Available Actions

Each plan includes quick action button on the right hand side of the table view:

  • View

  • Download

  • Commit / Uncommit

  • Edit (Draft only)

  • Compare — compare this sheet against a previous version or another sheet

  • History — view a full log of actions taken on this sheet

Markups and RFIs

Inside a plan:

  • Add annotations (redlines)

  • Save markups permanently

  • Create an RFI directly from the drawing

Comparing Versions and Sheets

You can compare plan sheets side by side to identify changes between versions or across drawings:

  • Open a plan sheet and click the Compare button

  • Choose to compare:

    • A previous version of the same sheet

    • A different sheet in the project

  • Use the overlay controls to toggle between views and highlight differences

Viewing Sheet History

Every plan sheet includes a full history log of actions taken on it:

  • Open a sheet and navigate to the History tab or section

  • The log displays all activity in reverse chronological order, including uploads, confirmations, commits, uncommits, and edits

  • Use the history log to audit changes or track when a version was last updated


Switching Between New and Legacy Experience

Switching Back to Legacy

You can return to the legacy experience at any time:

  • Click “Legacy View” in the top right corner of the screen

  • Provide optional feedback

Important Notes

  • Files uploaded in the new experience do not appear in legacy view

  • You must re-upload files if switching back during beta

  • All data remains available when returning to the new experience


Tips for Getting the Most Out of the New Experience

  • Use saved views to standardize workflows across your team

  • Leverage grouping and filters to quickly find relevant plans

  • Use bulk commit, uncommit, and rescan tools to save time during uploads

  • Use the History log to audit changes and track version activity on individual sheets

  • Use Compare to quickly identify what changed between sheet versions
