RedTeam Flex - Configure Progress Reports

Daily Reports are detailed records that are important to track and record the progress of a job.

In RedTeam Flex, employees can fill out Daily Progress Reports to report on progress, delays, issues, etc. that occur on-site daily. Because reports can be filled out anywhere you have access to RedTeam Flex, it is important to make sure the Progress Report form includes all the information your company needs to track progress. You may add or edit the sections that appear in the Daily Progress Report form from the Configuration section of RedTeam Flex.


1. Progress Report Form: First Sections

GENERAL

This is the first section to configure. Fields: Date, Scope and Author are REQUIRED by default. This means that you must fill out that information when creating your progress reports in your projects.

For the field Task Phase, you can decide to make it required or not required by selecting or not the checkbox on the right column.

WEATHER

Conditions: Check the box to require the Author to enter the weather conditions for the day.

Precipitacion: Check the box to require the Author to enter the amount of precipitacion for the day.

Temperature Low: Check the box to require the Author to enter the lowest temperature for the day.

Temperature High: Check the box to require the Author to enter the highest temperature for the day.

CENSUS

Company: The Company name for the Subcontractor or Vendor is required. When creating your progress report it is mandatory to select it.

Rate this Company: Check the box to require the Author to rate the Sub or Vendor.

Sub Scope: Check the box to require the Author to select the Sub or Vendor scope from Commitment(s) issued to that company.

Task: Check the box to require the Author to select a task from the Gantt Schedule that the Sub or Vendor is working on.

Activity: Check the box to require the Author to enter a description of the activity on site for the day.

Workers: This box is selected by default, so the total number of workers on site for the day is required.

Total Hours: This box is selected by default, The total hours for all workers on site for the day is required.

Steps:

  1. From the Configuration menu, select Progress Report under the tab Projects.

  2. Customize the GENERAL section.

  3. Customize the WEATHER section.

  4. Customize the CENSUS section.


2. Customize Daily Progress Report Observations

You may add or edit the Observation fields that appear in the form from the Configuration section of RedTeam Flex. If you cannot access the Configuration menu, please contact your Admin for assistance.

Short Name: short description of the field that will show in the Configuration menu.

Description: full name of the Observation field that will show when filling out a Daily Report.
Type: Click on the dropdown to select the type of the Observations.

Roles: users with the Roles added here will be able to fill out this Observation field on a Daily Report.

Active: Unselect this box if you want this observation to be inactive. You can select Active again anytime you need.

Confidential: check this box to make this field confidential, i.e. will not be displayed on owner reports and can only be viewed by users within your company.

Required: Check the box to make the Observation required for the Author to fill out.

Display if Empty: check this box to display Observations if they are empty, unchecking this box will hide the observation if it is left empty.


Steps:

1. From the Configuration menu, select Progress Report under the tab Projects.

2. Scroll down to the section OBSERVATIONS. Click Add and select Add Observation.

3. Fill out the the text fields and select the checkbox fields if needed. In the Roles section, select the word in Blue and select who will be able to add information in this Observation. The Active box will appear after you first create and save the Observation.

4. To update or inactivate an Observation field, click the Edit icon.

5. To change the order of how the Observations display on the Progress Report, click Arrange, select the observation you want to rearrange and drop it where you want it to be. It automatically saves so then you can click Back.


3. Controlling Access to Progress Report Observations

The Observation fields that appear in the Daily Progress Report form can be restricted, limiting which users are able to enter information. This capability is dictated by user roles. To change which roles can fill out an observation field, you will edit the field in the Configuration menu. If you cannot access the Configuration menu, please contact your Admin for assistance.

Steps:


1. From the Configuration menu, select Progress Report under the tab Projects.

2. Scroll down to the section OBSERVATIONS.

3. Click Edit.

4. Click X beside any Role you want to remove; users with this Role will no longer be able to add or modify this field on a Progress Report.

5. Click Save.


4. Configure Productivity Hours

A big part of Daily Progress Reports, specifically the Census or Work on Site section, is tracking workers and hours for each company doing work for the Project. You can track workers and hours for all companies included on the Project Team, which most often includes Vendors and Third-Parties but may also include your own company (Service Provider) and even your Customers. In order to provide more detail about these hours, RedTeam Flex allows you to set up Producitivy vs Non-Productivity Hours.

Within Productivity and Non-Productivity Hours you can also have specific labels to classify and group labor. Often, Productivity Hours will include Vendor labor and might have specific labels for the types of workers that were on site (laborers, equipment opperators, foremen, etc.). On the other side, Non-Productivity Hours might include internal labor or be used to track activity or types of workers whose hours are not directly part of job productivity (office personell, admins, etc.).

It is entirely up to you whether or not you want to set up and track Productivity vs Non-Productivity Hours for your company. The steps below will show you how to set this up for your entire Company Database. For assistance setting this up, have your Service Provider Administrator contact us.

Steps:

1. Scroll down to the section CONFIGURE USER-DEFINED FIELDS.

2. User-Defined Dropdown 1 is where you will customize the dropdown label that the Progress Report Author will use to select the type of labor.

3. You may also select whether or not this option is Required and must be selected by the Progress Report Author (recommended).

4. Under the Dropdown label, you can add as many classifications or types of Productivity and Non-Productivity Hours as you would like


5. Options that have Productivity Hours checkbox ON will be grouped and totaled as Productivity Hours on the Daily Progress Report.


5. Progress Report View

The last section is the Progress Report View. Here you can choose to display multiple fields.

Steps:

  1. Add the Title you want to be displayed in your Progress Reports.

  2. SECTIONS: Click the button ARRANGE to edit the order of the Sections of the Progress Report

  3. OPTIONAL FIELDS:

    3.1. Use the Dropdown to select Additional Scope Details fields to be displayed. Then click Add.

    3.2. Display Contrat Start Date: Select this box to display this date. (Pulled from the Contract tab of the Project)


    3.4. Display Contract Completion Date: Select this box to display this Date. (Pulled from the Contract tab of the Project)


    3.5. Display Anticipated Completion Date: Select this box to display this Date. (Pulled from the Contract tab of the Project)


    3.6. Display Days into Contract: Select this box to display this field which calculates days based on the Contract Date for the project.

  4. EQUIPMENT UTILIZATION: Display the tracking Equipment utilized on the Project as entered in the Progress Report.

  5. CONTRACT LANGUANGE: A footer can be added here, pasting information from an outside source or just writing in the editor. You can use the format buttons and even add tables. When finished, click Save.

  6. After finishing this step you can go back to the Config Menu. The Progress Report autosaves after you make the edits.
