Daily Reports are detailed records that are important to tracking and recording the progress of a job. In RedTeam, employees can fill out Daily Progress Reports to report on progress, delays, issues, etc. that occur on-site daily. Because reports can be filled out anywhere you have access to RedTeam, it is important to make sure the Progress Report form includes all the information your company needs to track progress. You may add or edit the sections that appear in the Daily Progress Report form from the Configuration section of RedTeam.

1. Customize Daily Progress Report Observations

Employees can fill out Daily Progress Reports to report on progress, delays, issues, etc., that occur on-site daily. You may add or edit the Observation fields that appear in the Daily Progress Report form from the Configuration section of RedTeam. If you cannot access the Configuration menu, please contact your Admin for assistance.

Short Name = short description of the field that will show in the Configuration menu

Description = full name of the Observation field that will show when filling out a Daily Report
Roles = users with the Roles added here will be able to fill out this Observation field on a Daily Report

Confidential = check this box to make this field confidential, i.e. will not be displayed on owner reports and can only be viewed by users within your company

Display if Empty = check this box to display Observations if they are empty, unchecking this box will hide the observation if it is left empty

Active = this box is checked when the field is active and displays on the Daily Report form, unchecking the box will make the field unavailable to fill out for all future Daily Reports.

Steps:

1. From the Configuration menu, select "Progress Report" (under the heading: Projects)

2. Scroll down to the section "OBSERVATIONS"

3. To add a new Observation field to the Daily Report form, click "Add" and select "Add Observation"

4. To update or inactivate an Observation field, click the Edit icon.

5. To change the order of that Observations appear on the Progress Report for the Author to fill out (both RedTeam Web and FieldShare App) click "Arrange"


2. Controlling Access to Progress Report Observations


The Observation fields that appear in the Daily Progress Report form can be restricted, limiting which users are able to enter information. This capability is dictated by user roles. To change which roles can fill out an observation field, you will edit the field in the Configuration menu. If you cannot access the Configuration menu, please contact your Admin for assistance.

Steps:


1. From the Configuration menu, select "Progress Report" (under the heading: Projects)

2. Scroll down to the section "OBSERVATIONS"

3. Click the Edit icon (pencil)

4. Click the “x” beside any Role you want to remove; users with this Role will no longer be able to add or modify this field on a Progress Report

5. To add roles, click “Roles:” then check the roles you want to include and click Select

6. When you are finished managing Progress Report Observations, click "Save"


3. Configure Productivity Hours

A big part of Daily Progress Reports, specifically the Census or Work on Site section, is the tracking of workers and hours for each company doing work for the Project. You can track workers and hours for all companies included on the Project Team, which most often includes Vendors and Third-Parties but may also include your own company (Service Provider) and even your Customers. In order to provide more detail about these hours, RedTeam lets you set up Producitivy vs Non-Productivity Hours.

Within Productivity and Non-Productivity Hours you can also have specific labels to classify and group labor. Often, Productivity Hours will include Vendor labor and might have specific labels for the types of workers that were on site (laborers, equipment opperators, foremen, etc.). On the other side, Non-Productivity Hours might include internal labor or be used to track activity or types of workers whose hours are not directly part of job productivity (office personell, admins, etc.).

It is entirely up to you whether or not you want to set up and track Productivity vs Non-Productivity Hours for your company. The steps below will show you how to set this up for your entire Company Database. Steps:

1. Go to the Configuration menu and select "Progress Reports"

2. Scroll down to the section "CONFIGURE USER-DEFINED FIELDS"

3. User-Defined Dropdown 1 is where you will customize the dropdown label that the Progress Report Author will use to select the type of labor

4. You may also select whether or not this option is Required and must be selected by the Progress Report Author (recommended)

5. Under the Dropdown label, you can add as many classifications or types of Productivity and Non-Productivity Hours as you would like
6. Options that have "Productivity Hours" checkbox ON will be grouped and totaled as Productivity Hours on the Daily Progress Report
