RedTeam Flex - New Submittals: Default Workflow Configuration

Configure the company default workflow that applies review steps automatically to every new submittal item.

What this covers

The company default workflow defines the review steps, and their order, that apply automatically to every new submittal item created from that point forward. Setting it once means your standard submittal review sequence is applied consistently without rebuilding it item by item.

RedTeam's out-of-the-box default workflow is Submission, then Submittal Manager review, then Architect review, then Official Response & Distribution. You can customize this to match your company's standard process.

Who can do this

  • Access level required: Administrator

  • Applies to: GC internal users

  • Not available to: Viewer, Coordinator, and Manager access levels. Portal users.

  • Prerequisite: The new Submittals experience must be enabled on the project you are working from. See RedTeam Flex - New Submittals: Overview and How to Enable It.

This setting applies to all submittals across all of your company's projects, which is why it requires Administrator access.

Steps

  1. Open a project and go to the Submittals tab.

  2. Select the Settings Button.

  3. Select Default Workflow Configuration.

  4. Using the icons to either rename, reorder, remove review steps or Add review step to match your standard process.

  5. Save your changes.

What happens next

The default workflow applies to all new submittal items created after you save it. Items that already exist are not changed.

Things to know

  • This is a company-level setting. It applies across every project your company runs in RedTeam Flex, not only the project you were in when you changed it.

  • Existing items keep their current workflow. Changing the default does not retroactively alter items that have already been created.

  • Individual items can still differ. A user with Coordinator access or above can add, delete, reorder, and rename review steps on a single item.

  • To reuse a non-default sequence across several items, configure one item and copy its workflow to the others rather than changing the company default. See Copy and Apply Workflows.

  • Project-level settings are separate. Managing project-level Submittals settings requires Manager access. Company-level settings, including this one, require Administrator access.

  • Every review step needs a reviewer and a due date to function. An active review step with no assigned reviewer, or no due date, causes the item to become Blocked. Keep this in mind when designing your default sequence.
