What the DocuSign Integration Does
RedTeam Flex integrates with DocuSign so users can send project documents (e.g. commitments/owner proposals/change orders) directly to DocuSign from within RedTeam Flex to allow the collection of digital signatures. When sent, RedTeam creates a DocuSign envelope and passes it into the connected DocuSign account. Flex also records DocuSign details (such as the envelope ID and account ID) in the document metadata for tracking.
Once in DocuSign, signature templates can be applied to the document and it can be sent to concerned parties for digital signature. After all signatures are collected, the final signed document will appear in the corresponding location within the RedTeam Flex project.
Key Concepts to Know
1. Primary (Default) DocuSign Account
The first DocuSign account connected inside RedTeam Flex becomes the primary/default DocuSign account for the database. (Click Here to view our DocuSign setup help article)
If only this primary account is connected, all documents sent to DocuSign by any RedTeam Flex user will go to the primary DocuSign account by default.
If another DocuSign account is connected through the DocuSign “app card” in RedTeam Flex:
Sends performed by that user will now flow to their own DocuSign account/inbox.
Sends from other users who are still not connected will continue flowing to the primary account.
Why this matters:
The decision to connect a single DocuSign account or multiple accounts will depend on the workflows and needs of your company. If your entire company has only one DocuSign license, if your team shares a DocuSign account, or if you intend for only one person to handle the collection of all signatures for project documents, connecting a single primary account will suffice.
If, on the other hand, your team each has their own DocuSign account and you would like Project Managers or other key project team members to be able to handle their own signature collections individually, linking multiple accounts will help to ensure that each user receives their own project documents directly to their individual DocuSign account.
Lastly, it is not necessary to connect a DocuSign account for all employees. Any RedTeam Flex user with the correct permissions will be able to send documents to DocuSign, but if they do not have a connected account, documents they send will simply route to the primary account for processing.
2. How to Send a Document to DocuSign from RedTeam Flex
Open the relevant project and locate the desired commitment, contract, change order, or customer bill.
Ensure the document is in a committed status, as draft documents cannot be sent to DocuSign
View the document by clicking on the blue paper icon
Choose the Sign with DocuSign button at the top right of the preview screen.
Flex confirms the send (you may see a message like:
“This document will be signed with DocuSign. Are you sure?”Flex sends the document to DocuSign, and if successful will log the following information under the Log icon:
Date & Time sent
User who clicked send
The DocuSign Account ID used
(this can be used to identify whether the document was sent to the primary account or to another user's individual account)
The DocuSign Envelope ID
(the existence of an Envelope ID indicates that the document was properly received in DocuSign
3. Where Sent Documents Appear in DocuSign
When Flex sends a document to DocuSign:
It creates an envelope without signature fields (since DocuSign handles signature setup).
DocuSign places these envelopes into the Drafts area, not the main Inbox. To locate them:
Log into DocuSign.
Go to Agreements.
In the left menu, click Show More.
Select Drafts.
Your RedTeam Flex-sent documents should appear here.
Once in Drafts, you can:
Add recipients
Apply templates (if you use them)
Place signature fields
Send normally through DocuSign
Note:
Seeing documents in Drafts is expected behavior. The envelope is waiting for recipients and signature placement to be added in DocuSign before sending.
4. DocuSign Permissions Are Managed in DocuSign
RedTeam Flex does not control DocuSign inbox visibility or sharing permissions.
Whether one DocuSign user can see another user’s drafts/inbox depends on DocuSign-level shared access settings.
If users want to share visibility between accounts, they must configure it in DocuSign. (this may be important if you have multiple accounts connected in Flex and one user may need to view documents sent to DocuSign by another user)
Troubleshooting
Issue A: “I sent from Flex but don’t see anything in DocuSign.”
Most likely cause: You’re checking DocuSign Inbox instead of Drafts.
Fix:
Go to Agreements → Drafts and look there. If they are not present, proceed to steps for Issue B below.
Issue B: “My sends are going to someone else’s DocuSign.”
Likely cause: You haven’t connected your own DocuSign login in RedTeam Flex and your sends are flowing to the primary connected DocuSign account
Fix:
Open the DocuSign app card/integration area in Flex.
Click "Add an Account"
Sign into your DocuSign account.
Re-send a document (if needed).
Tip: uncommit/recommit the document to allow a fresh send. The "Sign with DocuSign" button should reappear on the document preview screen.
Issue C: “A specific user’s sends aren’t showing in the right account.”
Likely cause: The user is logged into the wrong DocuSign account. If a user’s sends show a different DocuSign Account ID than expected in the metadata, that user is likely signed into a different DocuSign account (often a personal one vs a company one). This can happen because browsers may auto-login using cached sessions.
Fix:
Have the user fully sign out of DocuSign in browser.
Reconnect DocuSign inside Flex using the correct company account.
Test a new send and confirm the Account ID matches expectation and that the document appears in the Drafts menu of the correct DocuSign account.
Issue D: “I can’t see another user’s Drafts/Inbox.”
Likely cause: DocuSign sharing permissions are not enabled.
Fix: Configure shared access in DocuSign admin/settings.
RedTeam Flex cannot change these permissions.
Best Practices
Each RedTeam Flex user who needs their own DocuSign inbox should connect DocuSign in RedTeam individually.
Avoid having multiple DocuSign accounts open in the same browser session.
If you manage multiple companies, consider separate profiles/browsers.
When troubleshooting, always verify:
Which DocuSign account is connected in Flex
Whether the envelope is in Drafts
Whether DocuSign permissions allow shared visibility
