All you need to know about the Fieldlens & RedTeam Flex Integration

How to connect the RedTeam Flex <> Fieldlens Integration and start collaborating between the 2 apps.

Fieldlens keeps construction project teams connected in real-time. Dynamic and intuitive, this tool keeps issues organized, documented, and appropriately escalated and empowers effective collaboration among field, office and trade workers.

Fieldlens is built for construction companies of all sizes that are looking for tools to keep everyone — from project owners to architects to subcontractors — on the same page.

When your accounts are connected you will be able to sync:


Fieldlens App card in RedTeam

To connect to Fieldlens go to the Apps menu.


Press the Connect button to open a new window.

The new window will have the Fieldlens Sign-In form, enter your Fieldlens credentials to complete the connection. Remember you need an existing Fieldlens Paid account.


You will see a confirmation message when the access has been granted successfully.


Set up RFI preferences

Please note that you can only select one type. Any RFI record for the chosen type created in RedTeam Flex will sync to Fieldlens and be shared with all your Fieldlens Project teams.

It's important to consider that RFIs in Fieldlens are Public records, so it's advisable to use an RFI type suitable for vendors and Jobsite personnel. Additionally, all RFIs created in Fieldlens will sync to RedTeam Flex under the corresponding RFI type. The numbering for both platforms will remain synchronized. For best practices on creating an RFI template to be used with Fieldlens, please refer to the guidelines below.

IMPORTANT:
Once you've chosen a type to sync, it cannot be modified. Please consider your selection carefully, or feel free to contact our Support team if you require assistance or have any questions before making a selection.

Best Practice Tips:

You can have a separate RFI type to send to Architects and/or Customers and keep communication separated between them and your vendors and Jobsite Personnel.

We HIGHLY recommend having a separate RFI Template to be used with Fieldlens.

Please have these considerations for the RFI template you will use to sync RFIs:

  • Author: Any entity type

  • Recipient: Any entity type

  • Shouldn't display the Confidential Checkbox (In FL all RFIs are public records)

  • Dates should be required

  • Do not include "DialogReference"

  • Do not add User defined fields, as of now they are not supported for the Integration.

Once you have created your RFI type for Fieldlens go back to your Fieldlens app card and select it from the dropdown list.


Set up General Preferences

You can set up your company preferences for how you manage your Projects and Drawings when using the integration.

We have 2 preferences in the app card under the section Preferences:

The first preference is to automatically send Projects from RedTeam Flex to Fieldlens.

The second preference will send your project Drawings to Fieldlens when the Project Scope is authorized.

Keep reading below for more details on each preference.

If you mark this as your preference, any project created in RedTeam Flex will be sent to Fieldlens upon creation.

When you are creating a new project, you’ll receive a confirmation message that the project is created and a prompt for you to select at least one contact from the Project team to be sent to Fieldlens.

Using the checkboxes select the contacts from the list, and click the Send button when you are ready.

IMPORTANT:

If you choose to Cancel this step, the project will be created in RedTeam Flex, but it will not be sent to Fieldlens. You can always send it manually later on.

The Project Manager assigned to the Project and the user who is creating the project will be designated as Project Organizers in Fieldlens.

Transaction Log

On the left side of the App Card you will find analytics on how many Projects, Team Members, Drawings, and RFIs have been sent to Fieldlens or Received from Fieldlens using the integration.

You can click on the hyperlinked counters or click the Transactions Log button


A new screen will open to display all the transactions sent or received from/to Fieldlens. By default, the last 50 transactions are listed, but you can use the Filter option to narrow down your search.

The log will record any Project, Team Member, Drawing or RFI synchronized using the integration. Data like Source, Project Number, Record Name, Author, Date, and Status are available for you.


Disconnect Integration

You can choose to Disconnect the integration using the Disconnect button that you can click when you no longer want to synchronize your projects between the two platforms.

Keep in mind that once disconnected the data will not synchronize anymore for your Projects between the 2 platforms.


Metadata saved in the App card for Fieldlens

  • The option to view Metadata will display the activity about Connecting and Disconnecting the API for Fieldlens.

Sending Projects from RedTeam to Fieldlens

For users using automatic Preference

IMPORTANT:

If you’ve turned off the automatic project sending option in the Fieldlens configuration card, you can still manually send projects click here to learn how.


When you are creating a new project, you’ll receive a confirmation message that the project is created and a prompt for you to select at least one contact from the Project team to be sent to Fieldlens.

Using the checkboxes select the contacts from the list, and click the Send button when you are ready.

In RedTeam Flex: Go to the project you wish to send and navigate to the Scope Details step in the Project Setup form, and click the Send to Fieldlens button on the top of the form.

IMPORTANT:

If you choose to Cancel this step, the project will be created in RedTeam Flex, but it will not be sent to Fieldlens. You can always send it manually later on.

The Project Manager assigned to the Project and the user who is creating the project will be designated as Project Organizers in Fieldlens.

If you are wondering what happens in Fieldlens, if you decide to cancel or close your project in RedTeam Flex, no worries, once you close or cancel a Project, Fieldlens automatically will mark the project as Closed in Fieldlens.

If later on, you recover your Project in RedTeam Flex, the project will also be re-opened in Fieldlens.

For users not using automatic Preference

In RedTeam Flex: Go to the project you wish to send and navigate to the Scope Details step in the Project Setup form, and click the Send to Fieldlens button on the top of the form.

Restriction:

The user needs to have this permission assigned to its role: SendToFieldlens.

By default, this permission is only available for SP Admins.

This permission allows users to send Projects, Plans, and Team Members to Fiedlens.

Projects can be sent to Fieldlens when they are in any of these statuses: Draft, Request, Proposal or InProgress.

Send Project Team

A lightbox will pop up with the list of all your Project Team Members in RedTeam Flex grouped by Entity Type. You can expand each group type to select the contacts you'd like to send to Fieldlens. Using the checkboxes select the contacts from the list, and click the Send button when you are ready.

After that, it will show you a confirmation message on the top right of your screen that the project has been successfully posted in Fieldlens.

IMPORTANT:

The Project Manager assigned and the user who sends the project to Fieldlens will be designated as Project Organizers in Fieldlens.

If you need to send additional team members later, you need to go to the Manage Members in RedTeam Flex and using the checkboxes, select the contacts to be sent to Fieldlens.

Note that there's a column Fieldlens that indicates who has been sent already.

Restriction:

By default, this permission is only available for SP Admins.

This permission allows users to send Projects, Plans, and Team Members to Fiedlens.

Projects can be sent to Fieldlens when they are in any of these statuses: Draft, Request, Proposal or InProgress.

Synchronize Plans & Specifications between RedTeam and Fieldlens (Drawings)

BEST PRACTICE TIP:

Turn ON the Automatic drawings sync from the Fieldlens app card to have a seamless experience between both platforms.

For users using automatic Preference to link Drawings to Fieldlens

If you follow our best practices and have the auto-sync preference ON, your drawings will be sent to Fieldlens when you Authorize your Project Scope.

For the original Scope is when the project is promoted to InProgress Status, and for your Change orders, is when the Scope is Authorized.

For users not using automatic Preference to link Drawings to Fieldlens

After the Project and the Project Team Members have been sent, we can send the Project Drawings.

In your RedTeam Project: Go to step 3 - Plans & Specifications, in the Project Setup form select the files you need to send over to Fieldlens, and click the "Send to Fieldlens” button on the top of the page.

IMPORTANT:

Drawings to be sent to Fieldlens need to be single-page PDF files, make sure you use the "Split File" option when uploading your files in RedTeam Flex.

What is sent to Fieldlens?

Drawing Number and Drawing Name

What is NOT sent to Fieldlens?

Author name, Discipline, Scope Number, or Version Number

Restriction:

The user needs to have this permission assigned to its role SendToFieldlens.

By default, this permission is only available for SP Admins.

This permission allows users to send Projects, Plans, and Team Members to Fiedlens.

Within Fieldlens:

It is not possible to directly upload drawings in Fieldlens for projects associated with RedTeam Flex.

The button Upload Drawing will not be available in Fieldlens. All drawings need to be uploaded in RedTeam Flex after the project is synchronized.

Send Addendums and Revised Plans & Specs to Fieldlens

For users using automatic Preference to link Drawings to Fieldlens


Addendums will be automatically sent to Fieldlens when your project is Promoted to InProgress status in RedTeam Flex.

For users not using automatic Preference to link Drawings to Fieldlens

Addendums or revised Plans & Specs from Scope Changes will need to be sent to Fiedllens after committing them in RedTeam Flex.

Plans from Addendums or Scope Changes that are new and/or supersede existing plans will still need to be sent to Fieldlens. Superseded plans from Flex will update the existing version in Fieldlens.

See the instructions below.

  • Select in RedTeam Flex which records would be Superseded, or leave it blank if you are not superseding anything.

Once the Addendum or the revised plans for a Change Order have been Committed in RedTeam Flex, from the Manage Plans and Specs select the records you need to sync and click the button Send to Fieldlens.

Send RFIs from RedTeam Flex to Fieldlens

Using the same RFI template set in the Fieldlens App card when you set up the integration, create an RFI. After creation, the RFI will automatically be sent to Fieldlens.

The RFI sync is bi-directional, which means if the RFI can be created on any of the platforms and it will be visible on RedTeam Flex and also in Fieldlens, also the answers entered in either Flex or Fieldlens will be recorded in both places.

Answering an RFI from Fieldlens

In Fieldlens users can comment and collaborate within the RFI post, in order to send the final answer from Fieldlens to RedTeam Flex.

If the answer is recorded in Fieldlens the answer will sync to RedTeam Flex once the RFI post is closed, keep in mind that ONLY the last comment entered will be posted as the Answer in RedTeam Flex, any attachments included in the comment will not post in RedTeam Flex only the comments will be visible in the Flex side.

If the answer is recorded in RedTeam Flex it will send it to Fieldlens as the last comment and will close the RFI.


Just to let you know, any files attached to the Answer from RedTeam Flex will not post in Fieldlens either.

View Fieldlens Punch List in RedTeam Flex

You may view the Fieldlens Punch List without going into Fieldlens. This can be accessed in the Progress Tab within RedTeam Flex.

Follow the steps below:

  1. In the Progress Tab of a Project, select the sandwich menu to view the Manage Fieldlens Punch List.

  2. This is a Read Only menu, but you may still access the attachments and click the link to open a Fieldlens tab and see all the details for your record.

If you need to reply to any punch list or add files, you will be prompted to log in to your Fieldlens account using the Join the Conversation button. If you are already logged in to Fieldlens in the same browser you will automatically view the post and will be able to comment.

View Fieldlens Safety List in RedTeam Flex

You may view the Fieldlens Safety List without going into Fieldlens. This can be accessed in the Progress Tab within RedTeam Flex.

Follow the steps below:

  1. In the Progress Tab of a Project, select the sandwich menu to view the Manage Fieldlens Safety List.

  2. This is a Read Only menu, but you may still access the attachments and click the link to open a Fieldlens tab and see all the details for your record.

If you need to reply to any Safety post item or add files, you will be prompted to log in to your Fieldlens account using the Join the Conversation button. If you are already logged in to Fieldlens in the same browser you will automatically view the post and will be able to comment.

Viewing RedTeam Flex Projects sent to Fieldlens

Projects in Fieldlens: Manage Projects

Projects that are linked to RedTeam Flex, will have a link icon next to the name in the list (see image below). When you hover over the icon a label will show RedTeam Flex Project.

Projects linked to RedTeam Flex can not be modified in Fieldlens. If you need to update the Project number or Project name, you’d need to do so in RedTeam Flex.




Project Team in Fieldlens: People Tab

When Projects are sent to Fieldlens the Project is created as a Private Project, which means that only invited users can join the project.

By default, the Project Organizer will be the Project Manager sent from RedTeam. Also, the user who pushed the project to Fieldlens will also be designated as Project Organizer.

You can also go back to RedTeam Flex and push additional team members from the Manage Project Team. if you need to add collaborators in Fieldlens, that are not part of your RedTeam Flex team, you can do so from the People Tab in Fieldlens.

Plans and Specs in Drawings Tab

All Drawings sent from RedTeam Flex will be listed in the Drawings Tab in Fieldlens.

The same Drawing Number and Name will be brought to Fieldlens.

Since the origin for this drawing is RedTeam Flex, you cannot change the drawing numbers or names in Fieldlens, to do so, please go to Redteam Flex. Any modification to drawings will need to happen in RedTeam Flex.

IMPORTANT:

In Fieldlens, drawings linked to RedTeam Flex can not be deleted or unpublished.

Remember, you cannot upload drawings directly in Fieldlens for projects synchronized to RedTeam Flex, all drawings for the project need to be generated in RedTeam Flex which will automatically sync your set of drawings listed in Fieldlens.

Frequently Asked Questions:

For clients currently using the Flex and Fieldlens integration, this update will affect existing and new projects once the setting is turned on.

Q: What will happen to projects I already linked and have sent drawings to Fieldlens?

  • Drawings in the original Scope that were previously sent to Fieldlens must be sent manually (using the “Send to Fieldlens” button)

  • Drawings uploaded in those projects when a scope change is authorized will be sent automatically

  • Recommended: clients send all files in the current set to Fieldlens before proceeding with COs

Q: What will happen to active projects I have not sent to Fieldlens and then this preference is turned on?

  • The Project must be sent to Fieldlens manually

  • Drawings though, will be sent to FL automatically once the project is promoted to In Progress

Q: What will happen to new projects created after the preferences are turned on?

  • The Project will be sent to Fieldlens automatically when created

  • Drawings will be sent to FL automatically once the project is promoted to In Progress

Q: What if I want to send drawings to Fieldlens before the project is In Progress (eg. during the bidding phase)?

  • The “Send to Fieldlens” button is available while the Project is in Request and Proposal status (but will automatically push all drawings when promoted to In Progress)

Q: Can I delete or change drawings in Fieldlens?

  • No, once your drawings are received from RedTeam Flex, all changes and updates need to happen on the RedTeam Flex side, and no worries, all these changes will automatically update into Fieldlens once your scope is authorized.

Q: In Fieldlens, how do I know which projects are connected to RedTeam Flex?

  • On your projects list in Fieldlens, you will see a link icon with a hover message stating is a RedTeam Flex project.

Q: How can we manage drawings or addendums that were manually sent to Fieldlens before the project is promoted to "In Progress"?

  • If the project hasn't been promoted to "In Progress" and you need to remove drawings or addendums that were manually sent to Fieldlens, simply delete the corresponding files in RedTeam Flex (RTF). This will automatically remove the files from Fieldlens.
    If it's an addendum just delete the addendum in RTF and it will pull the drawings from Fieldlens.
