RedTeam Flex - Manage Project Team

The Project Team is a list of all of the contacts, whether Service Providers ,Customers, Vendors, and Third-Parties, working on the Project.

The Project Team is a list of all of the contacts, whether Service Providers (your company's employees), Customers (your project's client or owner), Vendors (your subcontractors, suppliers, etc.), and Third-Parties (architects, engineers, etc.), working on the Project. You can add or hide contacts from this Team Members list at any point in the Project.

The Project Team does not control whether or not a user can see a project. Users' access to Projects is managed at the Customer Facility level. You can control an employee's access to Projects from their Profile found in the Employees menu.

Being on the Project Team allows the user to be the author for many of the documents in that Project, as well as possibly being part of the approval workflow for Vendor Invoices on that Project.


1. Add a Contact to Project Team

The Project Team is a list of all of the contacts, whether Service Providers, Customers, Vendors, or Third-Parties, working on the Project. You can add or hide contacts from this Team Members list at any point in the Project. The Team Members list is available for all users who have access to the Project to quickly reference the contacts working on that Project and their information.

You can add many types of Contacts to each section of the Team:

  • Service Provider Contact - an employee for your company

  • Customer Contact - people working for the owner or client's company

  • Third-Party Contact - people working for the architects, engineers, consultants, etc. companies

  • Other Contact - people not related to any of these categories

  • Vendor Contact - people working for your subcontractors, suppliers, etc. companies

Follow the instructions below to add contacts to your Project Team.

Steps:

  1. From the Project Home menu, click Team Members.


  2. Click the +New icon and select the type of contact you want to add to your Team (see narrative above for definitions)

  3. To add a contact from a vendor, third-party, or other entity type, first select the company to which it belongs.

  4. Add an existing contact for that company by clicking Place on Team or create a new contact by filling in the form below.
    When finished adding contacts, click Save.



2. View Team Member Log

The Project Team is a list of all of the contacts, whether Service Providers (your company's employees), Customers (your project's client or owner), Vendors (your subcontractors, suppliers, etc.), and Third-Parties (architects, engineers, etc.), working on the Project. You can add or hide contacts from this Team Members list at any point in the Project.

Users can access this list at any time by logging in to RedTeam Flex. The list can also be printed from the log. Follow the instructions below to view the log.

Steps:

  1. From the Project Home menu, click Team Members.

  2. Click the View icon.


  3. You can customize the sections shown on this log by using the Display dropdown at the top of the page.




3. Send an Email or Action Item to a Team Member

From the Team Members list, you can send Emails and assign Action Items. Emails sent from the Team will be recorded and saved in the Dialog tab of the Project. Action Items will be sent to the user and will appear in their Action Items list located under the flag icon next to the user's name (top right corner) upon login.

Steps:

  1. From the Project Home menu, click Team Members.

  2. Find the contact in your Team Members list, then click the tools icon to select Email or Action Item and fill out the resulting template.



4. Hide (remove) a Contact from the Project Team

You have the ability to manage which contacts are listed on your Team at any point in the Project. Add contacts any time from the + New button, and remove contacts by hiding Team Members. Contacts that are hidden from the Project Team can be added back later.

Steps:

  1. From the Project Home menu, click Team Members.


  2. Select the contact(s) you want to hide by clicking the checkbox next to their name(s). Once you have made your selections, a Hide Members button will appear at the top right. Click the button to hide the selected contacts.


  3. To reinstate hidden contacts to the Team, click the Other option from the top menu, and go to Show Hidden Members.


  4. In the next screen, choose which Members you want to add back to the Project Team. You can select them as Customers, Third Parties, or Vendors.
