RedTeam Flex - Manage Contract Documents

Contract Documents are any documents you deem contractually relevant to a project and therefore want to upload to RedTeam.

In RedTeam, Contract Documents are any documents you deem contractually relevant to a project and therefore want to upload to RedTeam to keep the files in one place.

The most common Contract Document that is uploaded to RedTeam is the signed and executed Customer Proposal upon being awarded a job. Other Contract Documents might include permits, Notice of Commencement, etc.

Keep in mind that Contract Documents in RedTeam do not include the set of Contract Specifications, which are uploaded in the Scope tab (for more info, see Upload Plans & Specifications). Additionally, RedTeam has separate sections for Schedules and Customer Invoices (payment applications) which should not be entered here (for more info, see Manage Project Schedule and Manage Customer Billing)


1. Upload Customer Contract and Contract Documents

All documentation related to your contract with the owner, including but not limited to the signed executed contract itself, can be uploaded and stored in the Contract Documents section of a Project. These documents, in addition to the signed contract with the owner, may include permits, proposals, Notice of Commencement, etc. As Change Orders are issued on a Project and returned, the signed copies will also be stored here.

Keep in mind that Contract Documents in RedTeam do not include the set of Plans & Specifications, which are uploaded in the Scope tab (for more info, search for the Wiki: "Plans and Specifications"). Additionally, RedTeam has separate sections for Schedules and Customer Invoices (payment applications) which should not be entered here (for more info, search for the Wikis: "Manage Schedules" and "Manage Customer Invoices").

Steps:

  1. From the Project Home Menu, select "Customer Contracts".

  2. Click the Files icon next to the Original Contract (Scope 00).

  3. Click the Add (+) icon.

  4. Select the Scope the document is related to (original contract scope or a change order).

  5. Enter a name for the document you are uploading and the date Drag and drop the file, or click "Add File" to browse for the file on your computer.

Click "Save".


2. Commit a Contract Document

Once a Contract Document has been uploaded to RedTeam and you have reviewed the file and its information (name, date, file, etc.) you can Commit it. Once Committed, you will not be able to modify or delete the document (you can Cancel to make it inactive, however). Committing will also prevent other users who can access this Project from modifying or deleting the document.

Steps:

  1. From the Project Home Menu, select "Customer Contracts".

  2. Click the Files icon next to the Original Contract (Scope 00).

  3. Locate the document in the list of contract documents.

  4. Click the Tools icon.

Click "Commit".


3. Delete or Cancel Contract Document

Only Draft Contract Documents may be permanently Deleted. Once a Contract Document is Committed, it can no longer be Uncommitted or Deleted, only Cancelled.

Cancelling a Committed Contract Document will strikethrough and show the document as inactive.

Steps:

  1. From the Project Home Menu, select "Customer Contracts".

  2. Click the Files icon next to the Original Contract (Scope 00).

  3. Locate the DRAFT Document in the list of Contract Documents

  4. Click the Tools icon.

  5. Click "Delete"

  6. To Cancel, locate the COMMITTED Document in the list of Contract Documents

  7. Click the Tools icon.

Click "Cancel".


4. Arrange Contract Documents

You can arrange the order of the display for your Contract Documents from the Manage Contract Documents section in the Contract tab.

Steps:

  1. From the Project Home Menu, select "Customer Contracts".

  2. Click the Files icon next to the Original Contract (Scope 00).

  3. Click the more options icon.

  4. Click "Arrange".

  5. Use the "Up", "Down", "Top", and "Bottom" functions to arrange the documents.

  6. Click "Save".
