A Customer Facility is any business, department, division, or project location to sensibly organize a customer. The purpose of Facilities is to distinguish separate projects, whether it be by location, department, etc. that still fall under the same customer. For these divisions, you may have negotiated rates, or previously agreed upon costs for specific items often related to cost codes (i.e. Project Manager, permit licensing fees, etc.) that may be customized for each Facility. This is important for two procedures: T&M invoicing and Construction Management projects allow you to use the negotiated rates on file for a Facility, and estimators can use these standard rates when creating an Estimate and estimating costs for a project. Use this Wiki to learn more about managing these Facility rates.
1. View a Facility’s Negotiated Pricing
Facility Pricing refers to the negotiated rates for a specific Customer Facility. These rates are previously agreed upon costs for specific items often related to cost codes (i.e. Project Manager, permit licensing fee, etc.), indirect rates, or markups that may be customized for each Facility. To view a list/log of all of the rates for a particular Facility, follow the instructions below.
Steps:
Click Customers in the Companies Menu
Find the Customer in question (use the search box if necessary) and click the Facilities Icon
Click the Facility in question.
In the facility profile, click the Pricing tab to see the negotiated pricing
2. Add and Update Customer Pricing
Customer Facilities in RedTeam can be customized with specific Unit Prices to be used as defaults on all projects linked to that Facility.
These Prices are Direct Rates, Indirect Rates (Overhead), and Markups that have been negotiated with the client. By setting these Prices at the Facility level, you ensure that all projects linked to that Facility automatically use the pre-negotiated Prices as defaults.
Steps:
Go the the Customer Menu and click the Facilities icon for the customer in question
Click the facility name
Click the pricing tab
Click " + Add Icon"
Select an Item Cost from the dropdown and enter an Item Description and Unit Price rate
Click "Save"
To Update a Facility Price, click the Edit icon to change the Description and/or Rate
3. Edit or Delete a Facility Pricing Item
Facility pricing provides rates that are previously agreed upon costs for specific items often related to cost codes (i.e. Project Manager, permit licensing fees, etc.) that may be customized for each Facility. Once an inventory item or facility rate has been created, it may be edited or deleted at a later time. When viewing the facility pricing, clicking the pencil icon will allow you to edit the description, change the price, or remove it from billable items.
A rate will only have an option to be deleted if it is a new entry or is a default inventory item that has been edited. Clicking the delete (trash can) icon will delete custom entries that have been added to that facility, or remove changes from the Customer Facility pricing on an inventory item and revert it to default.
Steps:
Go the the Customer Menu and click the Facilities icon for the customer in question
Click the facility name
Click the pricing tab
Locate the Facility Item in the list of negotiated rates
Click the "Edit" or "Delete" icon next to the Item
Click the "Edit" icon to edit the Item, price, and billable status, then click "Save"
OR
Click the "Delete" icon to remove the Item
4. Import Negotiated Rates for a Facility
The negotiated pricing rates for a customer’s facility can be set up manually, but they can also be imported from another facility. The pricing can be imported from facilities with the same customer or a different customer.
Steps:
Go the the Customer Menu and click the facility icon for the customer in question
Click the facility name
Click the pricing tab
Click "Import"
Using the search and filter options, select the Facility from which you wish to import pricing
Click "Save" to import pricing from the selected facility
