RedTeam Flex - It’s time to clean up your project database

Believe it or not, your RedTeam database hygiene is important to accurately report to you on your business.

Updated over a year ago

What does that mean?

Your RedTeam database dashboards are filled with information, updated in real time, based on the projects you have in your database. Depending on which status your project is in determines where information is displayed. For instance, if you have a project in the Bidding (RedTeam Go) or Request (RedTeam Flex) stage, the projects in this status will show in your dashboard pipeline meant to show opportunities you have the potential to move forward as live projects.

For projects that are in the In Progress status, project values feed this information into Global and Project dashboards to show Work in Progress and Projected Profit.

This makes it important for RedTeam users to make sure projects are sitting in the proper status to ensure accurate reporting on RedTeam dashboards.

How can you ensure proper reporting?

The solution is to move those projects that are not won to a Closed status. For RedTeam Go, you can set projects to Not Awarded, and for RedTeam Flex you can set them to Closed.

RedTeam Go - Set to Not Awarded

(Projects>Click Ellipse>Set to Not Awarded)

RedTeam Flex - Set project to Cancel Scope (Project in Request)

(Request>Contract>Tools>Cancel Scope - this records the project and shows it as canceled)

In similar fashion, if you have projects that are in the In Progress status where you have received 100% of subcontractor bills, all expenses have been recorded, and Owner bills have been sent for 100% of work completed, these projects should be set to the Closed status as soon as the project is complete. When left in the In Progress status when complete, impacts your current In Progress values.

Our best practice is for you to move projects that are not won to Not Awarded or Cancel Scope as well as move projects that have been fully closed-out (documentation & billing completed), to the Closed status.

RedTeam Flex - Set to Closed

(In Progress>Promote)

(Click OK, which moves the project to Closed)

**Closed projects can be moved back to In Progress in both RedTeam Go and RedTeam Flex if the need arises.

Results

This practice will keep Project Managers and Executives informed with the correct information showing on the dashboards, and assist in building trust in the reporting from your RedTeam databases.
