For projects in In Progress status, Plans and Specifications on the executed Customer Contract are locked in as official contract documents.

When a Project is promoted to "In Progress" status in RedTeam Flex, the Plans and Specifications that are part of the executed Customer Contract are locked in as the official contract documents. Any changes to these Plans and Specifications, such as additions, revisions, and ASIs, are uploaded via a Change to the Project.

The Change process in RedTeam Flex is used to manage any changes to the Customer Contract, including changes to the Plans and Specifications. In some cases, these updates or revisions to the Plans and Specs will also have an impact on time or cost and can be managed through the Change process as well. In other cases, these updates or revisions are simply a drawing update and do not include time or cost impacts, and will not be presented as a Change Order to the Customer. A change of this type should be set as an Internal Change.

1. How to update Plans & Specifications (In Progress)

When a Project is promoted to "In Progress" status in RedTeam Flex, the Plans and Specifications that are part of the executed Customer Contract are locked in as the official contract documents. Any changes to these Plans and Specifications, such as additions, revisions, and ASIs, are uploaded via a Change to the Project.

In other cases, these updates or revisions are simply a drawing update and do not include time or cost impacts, and will not be presented as a Change Order to the Customer.

This article outlines the steps to update the Plans and Specifications for a Project without time/cost impacts, a Change Proposal, or a Change Order. For Changes with time/cost impacts that will be presented to your Customer, please see the entries on Change Orders.

Steps:

  1. From the Project's Home menu, click "+ Create a Potential Change" (under the heading: Change Management)



  2. In Step 1, enter a name for the Change (i.e. Drawing Updates, Revised Plans, etc.)
    Under Change Type select the correct option depending on the nature of the change.

    Customer Change: A Change to be presented to your Customer should be designated as.
    Internal Change: A Change created for internal tracking only should be designated as.

  3. In Step 3 - Plans & Specs, click the New (+) icon and select Add Plans & Specs

  4. Fill out the General information for the files you are uploading, including the Author (architect, engineer, etc.), Version, Date, Type, and Discipline. You can also add notes if needed.

  5. Next, select how you want to rename your files. You can choose to rename your files manually or use OCR technology (Optical Character Recognition) to rename them for you.
    When uploading PDF files you can select to Split the pages or don't, depending on how you want to organize your files on your project.
    After you make your choice upload your files.

  6. Independently if you select to rename your own files or OCR, you'll need to review the files for accuracy before publishing them to your project.

    Once files have been processed, click Review to see your files and confirm the Plans and Specifications.

  7. You can then verify the Name and Number automatically assigned. Or if you chose to rename them yourself you can start entering the names and numbers for the files.
    If you chose not to split your file, you'll see one file with all the pages on it.
    If you chose to SPlit your file, you have to rename each page.

  8. When OCR renames the files, if you wish to recalibrate the section to scan for Drawing Number and Name, you can click on the corresponding thumbnail. The top one scans the number and the bottom one is for the Name.


  9. You can reselect the area to be scanned to look for the correct location of the drawing number.
    See the example below, we are selecting the area where the number is located. Click Apply to apply to just this sheet, or Apply all to apply to all the sheets uploaded.

    Repeat the same steps if you need to rescan the drawing names.


  10. Once the Number and Names are scanned and you verified the accuracy click Save.
