Interactions let you track and quickly recall events and communication with any contact you want to add to RedTeam Flex. For instance, Interactions can be used to take notes for important phone or conference calls, meetings or conferences, and emails. These "types" of Interactions are entirely defined by your company and configured by your System Administrator.
In addition to tracking Interactions, you can associate them with specific Campaigns (i.e. "Retail Projects," "Midwest Region,"Orange County Schools," etc.) for which you can create Opportunities (i.e. "Target on SR 33," "Kansas Medical Center," "Lake Fairview Elementary," etc.) that can later be converted to a Project with the click of a button.
1. Add an Interaction to an Opportunity
From the Opportunities menu under the Interactions tab, you can manage all of the Interactions and events on file in RedTeam Flex, so that you can see all of your communication, important notes, planned steps, etc. from one place. You can use the Filter to narrow criteria and create custom Interactions Log reports.
Example: While meeting with a customer on an ongoing job, the customer mentions to the employee an opportunity to bid on a similar, upcoming job that has not yet begun. The employee opens RedTeam Flex and creates an Interaction, which is now accessible by the whole Opportunity Team, allowing the Team to find a way to capitalize on the opportunity.
Steps:
In your database, go to the Opportunities tab on the left side of the screen.
Then on the top part of the screen, select Interactions. Click + New and select Add Interaction.
Fill out the required fields in the General section.
You can add the Participants by clicking +Add Participants.
A new screen will open for you to search the contacts, then click the blue button: Select.
If you need to add attachments, go to the Attachments section and either drag and drop your files or click + Add Files to browse them from your computer. Once selected, click Start Upload.
Click Save.
The Draft Interaction will now appear in the list under the Interactions tab.
2. Add an Event to an Opportunity
The Events feature of RedTeam Flex lets users create and share customizable events for everything from a presentation to a phone call to discuss a job. With Events, you have the option to create an Event that repeats, add Guests via users in the database or by email, and set a reminder that may be shared with your contacts and will be delivered by email or as an Action Item.
Steps:
From Opportunities, select the Interactions tab, then click + New and select Add Event.
Fill out the necessary fields in the General Section.
In the Guests section, you can select guests from your contacts and add others by entering their email addresses.
In the Options section, you can add reminders.
After completing the form, click Save to save your changes.
3. View / Edit / Commit / Delete an Opportunity Interaction
The tools icon displays multiple options for an Interaction. Once an Interaction has been committed, it can only be un-Committed or viewed (you must have the correct permissions). Only a Draft Interaction can be Edited or Deleted.
Steps:
From Opportunities, select the Interactions tab and locate the Interaction you need to view, edit, commit or delete.
Click the Tools icon and select the appropriate option.
a. View: this button opens a screen where all the information added is presented. You can edit the Interaction directly from this view as well.
b. Edit: this button opens the same screen that you worked on when adding the Interaction. Edit the information and click Save.
c. Commit: the Interaction will turn blue. To reverse this action, click the Uncommit button.
As an alternative, you can check the box on the left side of a Draft Interaction, and then click Commit.
d. Delete: this button removes the Interaction from the list.
